Schedule: 12-hour shifts As needed for Code Blue Nights (6:30 PM – 6:30 AM; second shift 8:30 PM – 8:30 AM)

Position Summary 
Overnight Guest Support Staff play a critical role in maintaining the safety, relationships, and wellbeing of shelter guests during overnight hours. This position requires strong observational skills, adherence to shelter policies, and the ability to interact with guests in a compassionate yet professional manner. Monitoring Staff are expected to uphold confidentiality, comply with Pennsylvania labor and safety regulations, and respond effectively to both routine and emergency situations. 

Key Responsibilities 

·       Monitor guest areas throughout overnight shifts to maintain safety and order. 

·       Perform hourly walkthroughs, documenting observations and addressing irregularities. 

·       Maintain accurate records including shower, laundry, and room check logs in compliance with shelter and county reporting standards. 

·       Interact respectfully and compassionately with guests while upholding professional boundaries. 

·       De-escalate conflicts when possible and respond to minor incidents (conflicts, health concerns, or facility issues). 

·       Escalate emergencies promptly to supervisors, law enforcement, or emergency medical services when appropriate. 

·       Maintain confidentiality of all guest information in accordance with HIPAA, state confidentiality laws, and organizational policy. 

·       Assist with light housekeeping, replenishing supplies, and maintaining clean and orderly common areas. 

·       Attend mandatory staff trainings, including crisis response, workplace safety, de-escalation, and organizational policies. 

·       Participate in ongoing staff meetings and professional development. 

Qualifications 

·       High school diploma or equivalent required. 

·       Prior experience in shelter, security, social services, or related work preferred. 

·       Ability to remain calm and professional in high-stress situations. Strong interpersonal and conflict resolution skills. 

·       Must be comfortable working overnight shifts and long hours. 

·       Ability to maintain accurate records and follow reporting procedures. 

·       Commitment to confidentiality and compliance with Pennsylvania privacy and safety regulations. 

Work Environment & Physical Requirements 

·       Onsite role requiring standing, walking, and performing regular safety rounds. 

·       May involve responding to emergencies, including physical intervention in crisis situations. 

·       Digital literacy (required): able to enter notes, complete forms, and update records on a tablet or smartphone; proficient with email and messaging. 

Compensation 

·       Hourly, non-exempt role under the Fair Labor Standards Act (FLSA) and the Pennsylvania Minimum Wage Act

·       Eligible for overtime pay at 1.5 times the regular hourly rate for all hours worked over 40 in a workweek. 

·       Full-time staff may be eligible for benefits as determined by organizational policy.

Intake Guest Support

Schedule: 5 days per week, 2.5 hours per day (approx. 12.5 hours/week)

Position Summary 
The Intake Guest Support role is the first point of contact for guests. This position plays a critical role in ensuring an organized, respectful, relational, and legally compliant intake process. Responsibilities include verifying eligibility, assisting with required paperwork, performing grounds checks, tracking guest counts, and maintaining confidentiality. The Intake Guest Support role must embody professionalism, empathy, and compassion in all guest interactions. 

 Key Responsibilities 

·       Welcome and orient guests upon arrival in a respectful and compassionate manner. 

·       Verify guest eligibility, including: 

o   Verifying guest eligibility for organization’s residency requirements. 

o   Conducting Megan’s Law checks in accordance with Pennsylvania regulations. 

·       Ensure intake paperwork is completed fully and accurately and submit documentation promptly. 

·       Track daily guest counts and maintain accurate bed availability records. 

·       Assist in maintaining compliance and order during intake, escalating concerns when necessary. 

·       Communicate clearly and empathetically, using de-escalation techniques when conflicts arise. 

·       Uphold confidentiality of all guest information in compliance with Pennsylvania privacy standards and organizational policies. 

·       Assist with related administrative duties as assigned. 

 Qualifications 

·       High school diploma or equivalent required. 

·       Experience in customer service, social services, or intake preferred. 

·       Strong interpersonal skills; able to remain calm and professional in high-stress situations. 

·       Ability to maintain professional boundaries while demonstrating empathy. 

·       Strong attention to detail with solid organizational and recordkeeping abilities. 

·       Digital literacy (required): able to enter notes, complete forms, and update records on a tablet or smartphone; proficient with email and messaging. 

 Work Environment & Physical Requirements 

·       Onsite role at intake location. 

·       May require standing for extended periods, interacting with large groups of guests, and responding to emergencies. 

·       Ability to occasionally lift up to 25 lbs. 

 Compensation 

·       Hourly, part-time position (non-exempt, eligible for overtime under the Fair Labor Standards Act and Pennsylvania Minimum Wage Act). 

·       Approximately 12.5 hours per week.

Administrative Assistant

Schedule: 5–8 hours per week

Position Summary 
The Administrative Assistant provides critical support to the shelter’s operations by ensuring accurate and timely data entry into the county’s Clarity Homeless Management Information System (HMIS). This remote role requires strong attention to detail, confidentiality, and the ability to work independently while meeting deadlines and complying with Pennsylvania Department of Human Services (DHS) reporting standards. 

 Key Responsibilities 

·       Enter and maintain accurate guest and service data in the Clarity HMIS system in compliance with county and state reporting requirements. 

·       Review data for accuracy and promptly correct any errors. 

·       Generate and submit reports to the Program Coordinator as requested. 

·       Maintain confidentiality of guest and organizational records in accordance with HIPAA, the Pennsylvania Confidentiality of HIV-Related Information Act (35 P.S. §7601), and other applicable state and federal privacy laws. 

·       Adhere to organizational policies regarding safeguarding sensitive data and electronic communications. 

·       Attend virtual check-ins, compliance training, and required staff meetings. 

·       Follow directives from the Program Coordinator to ensure compliance with DHS documentation standards. 

·       Maintain accurate records of time worked and submit weekly timesheets in accordance with Pennsylvania wage and hour laws. 

 Qualifications 

·       High school diploma or equivalent required; associate degree preferred. 

·       Prior experience in administrative support, data entry, or human services preferred. 

·       Proficiency in data entry systems; experience with Clarity HMIS strongly preferred. 

·       Ability to maintain strict confidentiality and comply with Pennsylvania and federal privacy regulations. 

·       Strong organizational, written, and verbal communication skills. 

·       Ability to work independently with minimal supervision. 

 Work Environment & Physical Requirements 

·       Remote role; requires reliable internet and computer access. 

·       Work is sedentary and performed primarily on a computer. 

·       Must be able to perform essential job functions with or without reasonable accommodations in accordance with the Americans with Disabilities Act (ADA)
